Outlook 2003 and flagging emails
« on: November 17, 2008, 07:51:14 PM »
One of my clients is using Outlook 2003 with IMAP to an SMEServer.  A number of them "share" an email and each email is handled by one of them.  When they use the "flag" facility in Outlook on an email, it shows up on the other Outlooks as flagged in red, despite the fact that we might have actually flagged it in Blue or Yellow, etc.

Anyone know what the mechanism is for this (part of dovecot maybe), and whether we can get the colours to come through.

They want to use it to indicate who has dealt with the email.

I assume the 'flag' in Outlook to be what is called 'tag' for Thunderbird. Each Thunderbird installation comes with 5 predefined tags. Using these predefined tags for a shared email (imap) account for different users works fine here.
If we want to add additional tags, we need to define them on each email client once and then they work as expected across the shared account.
Maybe you want to check and try that the Outlook flags are defined the same on each client (or also have a test with Thunderbird)?

I would normally have folks do this with folders - make a folder for each user, and have them move the message into it when they handle/claim it.

When I flag a message in Outlook 2003 with any color flag, the only change I can find on the SME server is that the message name gains a capital "F" at the end:
1217624746.P11925Q2.sme:2, ==> 1217624746.P11925Q2.sme:2,F

When I open the same mail folder in Thunderbird, this message is now "Marked" with a Star.  If I "Tag" the message in Thunderbird, a number of things happen:
- Maildir/.../dovecot-keywords is modified to include new keywords
- a lower case letter is added to the email message name, which is different for each type of "Tag" that I use:
1217624735.P11925Q1.sme:2,F ==> 1217624735.P11925Q1.sme:2,Fc (one color)
1217624711.P11925Q0M203069.sme:2,F ==> 1217624711.P11925Q0M203069.sme:2,Fe (another color)

When I go back to Outlook 2003, I can find no field that will display the "tag" data added by Thunderbird.

When I add "Followup" information in Outlook, I can not find it on the SME server...

mmccarn  - that is very useful, and confirms that outlook will only show one sort of flag, I could try to move them to thunderbird, but unlikely.  Using folders is a better possibility.

I have found this:

which might do the job for me, anyone tried it?
